Política de privacidad
Captalí S.A.C.
An English version of this section and the next one is further down this page, under “Google Calendar data (English version)”.
The use of information received from Google Workspace scopes will adhere to the Google User Data Policy, including the Limited Use requirements.
Google Calendar data (English version)
This is the English version of the two sections above, “Datos de Google Calendar” and “Con quién compartimos los datos de Google Calendar”. The dashboard is in Spanish, so its menu names are quoted as they appear: Configuración → Conexiones means Settings → Connections.
If you work at a company that is a Captalí customer, you can connect your Google Calendar from the dashboard, under Configuración → Conexiones, so that leads can book meetings with you. We only use your primary calendar. We do not request your Google name or photo: from your account we only store its email address, to know which account you connected and to warn you if you reconnect with a different one, because the meetings you already had booked stay in the previous account’s calendar. This is everything Captalí does with it:
Availability. We ask Google for your busy intervals over the coming weeks to work out when you can take a meeting. Google only gives us the start and end of each interval: not the title, the guests or the content of your events.
Meetings. When a lead books with you, we create the event in your calendar with a Google Meet link, the lead’s name, company and email, and the lead as a guest. Google emails the invitation from your account, so the lead sees your name and your Google email address as the organizer.
Guest response. We read that same event to know whether the lead responded to the invitation, and we show it in the dashboard calendar to you and to your company’s administrators.
Cancellation. We delete that event if the company reassigns the meeting to another team member or deletes the lead from the dashboard. We do not read, change or delete any other event in your calendar.
The permissions we request. When you connect, Google asks you to authorize Captalí to see, create, change and delete events on calendars you own; to see your availability; and to know your identity and your Google account email address. Captalí only does what this section describes, and only on your primary calendar. If you connected your calendar before Captalí requested these permissions, the authorization you gave then was full access to Google Calendar, which allows seeing, editing, sharing and deleting your calendars, and it stays in force until you reconnect from Configuración → Conexiones → Reconectar: when you reconnect, we ask Google to revoke the previous one.
What we store and for how long. The authorization Google gives us when you connect (a refresh token), encrypted in our database, and your Google account email address, while your calendar stays connected; if the company suspends your user, both are kept only while you still have meetings to be reassigned or events to be deleted from your calendar, and after that we ask Google to revoke the authorization and we delete both. If Google does not confirm the revocation, our copy stays until it can be removed, and the company’s administrator sees this on your profile in the dashboard. And the ID of each event we create and its Google Meet link, stored with the meeting, while that meeting exists: they are deleted with it if the lead is deleted. If, when it is deleted, we are not able to also delete its event from your calendar, we keep only that event’s ID, to keep trying, until we manage to and for seven more days. We do not store your busy intervals or the lead’s response to the invitation, which are requested from Google each time they are needed. The times the assistant offers a lead are written into that conversation, like everything else said in it.
How to remove access. From the dashboard, under Configuración → Conexiones → Desconectar: we ask Google to revoke the authorization and we delete our encrypted copy, together with your account email address. You can also remove it yourself, at any time and without going through Captalí, from your Google account: https://myaccount.google.com/connections. From that moment we can no longer check your availability or create, read or delete events in your calendar; our encrypted copy, which no longer works, is deleted when you disconnect from the dashboard. In both cases, meetings already booked stay in your calendar, because they are appointments with leads. For any other request about this data, write to privacidad@captali.app.
Who we share Google Calendar data with
These are all the parties that receive data from your Google Calendar through Captalí, what each one receives and why:
- Your company. In the dashboard calendar, you and the administrators of the customer company you work for see the meetings booked with you —date, time and lead— and whether the lead responded to the invitation; the rest of the team does not see yours. In the dashboard, the company also sees each conversation with its leads, including the times the assistant offered in it. The Meet link is not shown in the dashboard: you have it, in the event in your calendar. Nobody at your company sees your busy intervals, your other events or your Google account email address, which only you see, under Configuración → Conexiones.
- The person who books a meeting with your company, on its website, in the conversation with its assistant or through a booking link they receive by email. Before booking, they see the team’s free times, without knowing whose each one is or anything about your events. When they book, Google sends them the event invitation from your account, with your name and Google email address as the organizer and the Meet link; and Captalí sends them that same link in the confirmation email, in the reminders and, if the meeting moves to another team member, in the notice of the change.
- The artificial intelligence providers that write the assistant’s replies: the Gemini API, from Google, and if it fails, Claude, from Anthropic, through Vercel AI Gateway, which serves it from Anthropic, Amazon Web Services or Google Cloud. They receive the free times —up to twelve at a time— to offer them to the lead in the conversation, without knowing whose each one is. Because those times are written into the conversation, they pass through the same providers again when the assistant continues it, summarizes it for your company or writes a follow-up to the lead. They do not receive your busy intervals, your events, the Meet link, the lead’s response or your Google account email address. Under their terms they may keep what they receive for a limited time to monitor abuse. Neither Captalí nor those providers use them to train or to improve artificial intelligence models.
- Meta, if your company connected its WhatsApp Business account to the dashboard: WhatsApp reminders carry the Meet link, and Meta delivers them through the official WhatsApp API, from your company’s account.
- Supabase, our database: it stores the encrypted Google authorization, your Google account email address, the ID of each event and its Meet link, and the conversations with the times that were offered in them.
- Vercel, where Captalí runs: every request passes through its servers —including those to and from Google, and those to the artificial intelligence providers—.
- Resend, which delivers the emails Captalí sends to the person who books —the confirmation, the reminders and the notice of a change—, which carry the Meet link.
The authorization Google gives us is not shared with anyone: it is only used to talk to Google.
Outside this list we do not share your Google Calendar data with anyone, unless a law or an order from a competent authority requires us to. We do not sell it or use it for advertising.
The use of information received from Google Workspace scopes will adhere to the Google User Data Policy, including the Limited Use requirements.
